Working with multiple big business applications that don’t necessarily want to interact with each other can cause a major pain for your business processes. Today I’m going to go over how to use Outlook with your Google Workspace custom email and calendar so that they sync nicely together and make it so that you can access your Google Workspace email and calendar through Microsoft Outlook on your desktop.
Let’s look at the step by step process.
A few assumptions before we get started
There are a few things to note before we get started:
- This guide assumes you already have your custom email address setup through Google Workspace.
- This guide is compatible with full versions of Outlook, NOT the condensed New Outlook that comes with Windows.
Google Workspace Sync for Microsoft Outlook (GWSMO)
To make Google Workspace sync with Outlook in real-time, you will need a helper program that was developed by Google to run in the background. GWSMO takes care of all of the heavy lifting and makes syncing your custom email and calendar in Outlook seamless.
Start by downloading the application from https://tools.google.com/dlpage/gssmo/
After you download the googleappsyncsetup.exe file, run the file to install the application. Once finished, close any version of Outlook currently running.
Run the Google Workspace User Sync
Once installed, go to your start menu and search for Google Workspace and select the “Set up a Google Workspace Sync user” app:
Once the program loads, input your custom email address that you’ve setup with Google:
After that, you’ll need to grant permissions for the application to access your email
From there, select “Continue” on the next screen.
And finally, review the permissions you want to grant access to Google Workspace Sync for Microsoft Outlook and confirm access.
Running the sync application
Return to the Set Up Google Workspace Sync for Microsoft Outlook window. If you are setting a new profile from scratch, you can leave both checkboxes unchecked and then click “Create Profile”.
If you have a previous Outlook profile setup that you would like to import into the new sync able profile you are creating for your Google Workspace account, you can check the “Import data from an existing profile” box and select the correct profile. If all of your current email is already in your Google Workspace account, you don’t need to worry about this step.
You can now start the syncing process, which will open up Microsoft Outlook:
From here Outook will create your new Google Workspace profile, denoted with ” – Google Workspace” at the end. Select it and press “OK”.
From here, Outlook will begin to automatically sync all of your info that is currently found in your Google Workspace custom email account. You can unclick the “Open this window when Microsoft Outlook starts” box and close – this sync process will happen in the background, so you don’t need the box to display everytime.
Real-time syncing now active
And there you have it. You now have real-time syncing enabled for your Google Workspace Contacts, Calendar and Mail within Microsoft Outlook. Any emails received/sent, calendar updates made will now show up instantly across all of your accounts!
